We are seeking a professional and passionate Maintenance Administrator to join our team:

Part time 22.5 hours (Monday – Friday)

The Maintenance Administrator will effectively manage, administer and maintain the maintenance documentation & Asset control. This includes Planned Maintenance and Reactive Maintenance activities for Process Equipment, Maintenance/Facilities systems and Instruments and work with the team.

Reporting to Estates Manager this role will operate within a small team alongside Maintenance Supervisors, and Maintenance operatives supporting all aspects of home wide Maintenance activities.

DUTIES AND RESPONSIBILITIES

Your job title is Maintenance Administrator and you agree to carry out all duties normally covered by that title and any additional or different duties in any department, which the Company may require from time to time.

  • Supporting the team’s profiles by closing down daily work orders
  • Raising purchase orders
  • Chasing sub-contractors for scheduled dates
  • Maintain an accurate log of invoicing frequencies and amounts
  • Keep all spreadsheets / Database up to date and accurate.
  • Communicate effectively both externally and internally
  • Manage the Maintenance documentation system and liaise with the ESTATES Manager and staff to highlight any deviations to documentation.
  • Assist Estates Manager with yearly budget control
  • Work closely with the estates team to understand & develop computerised maintenance management system (CAPEX)
  • Ordering required equipment and materials for homes
  • Ensure all, Risk assessments & method statements are kept up to date.
  • Recommend document changes and other general clerical and administration duties and services for the maintenance department. Including archiving of documentation, and organisation of filing system.
  • Ensure high standards of housekeeping and workplace organisation in the Maintenance owned areas.

EXPERIENCE AND QUALIFICATIONS

  • Knowledge of maintenance systems
  • Attention to detail, with strong document management capabilities.
  • Ability to work with minimal supervision.
  • Understanding basic financial budgeting (Expenditure/Capex)
  • Capable of remaining calm under pressure.
  • Good communication skills
  • IT literate, a good working knowledge of MS Office, in particular MS Excel.
